Airtable Integration

Create Event Badges from Your Airtable Databases

Connect Airtable to Online Badge Designer through Zapier and auto-import attendee records whenever they are added or updated. Map custom fields, filter by views, and generate print-ready badges without leaving your Airtable workflow.

How the Airtable Integration Works

A Zapier-powered connection between your Airtable bases and the badge designer, turning database records into professional badges automatically.

Automatic Record Import via Zapier

Set up a Zap that triggers whenever a new record is created in your Airtable base. Attendee names, emails, companies, and any custom fields are sent directly to your badge project in Online Badge Designer.

Custom Field Mapping

Airtable supports single-line text, dropdowns, checkboxes, linked records, and more. The Zapier integration maps each field type to a badge placeholder so your badge design reflects exactly the data you track.

View-Based Filtering

Trigger your Zap from a specific Airtable view rather than the entire table. Use filtered views to send only confirmed attendees, VIP guests, or speakers to the badge designer while excluding incomplete records.

Update Sync on Record Changes

Configure a Zap that fires when an existing record is updated. Name corrections, role changes, or status updates in Airtable flow through to the badge project so you always print with the latest data.

Multi-Table Badge Projects

Pull attendee data from multiple Airtable tables within the same base. Keep speakers, sponsors, and general attendees in separate tables and assign each group a unique badge template in one project.

Linked Record Support

Airtable's linked records let you reference data across tables. The integration resolves linked fields so you can display related information, such as a speaker's session title or a sponsor's tier, directly on the badge.

Benefits of Connecting Airtable to Your Badge Workflow

Airtable gives you the structure of a database with the ease of a spreadsheet. Pair it with Online Badge Designer to turn that structured data into polished event badges.

1

Leverage Your Existing Data Structure

If your team already tracks attendees, registrations, or event logistics in Airtable, you do not need to rebuild anything. The Zapier integration reads from your existing base and sends records straight to the badge designer.

2

No Manual CSV Exports

Stop downloading CSV files from Airtable, reformatting columns, and uploading them into a badge tool. The Zapier connection automates the entire data transfer so you never touch a spreadsheet export again.

3

Rich Data for Richer Badges

Airtable fields like dropdowns, attachments, and formulas give you more data to work with than a flat spreadsheet. Use attendee categories, computed display names, or uploaded headshots to create detailed, personalized badges.

4

Filter Before You Import

Airtable views let you filter and sort records before they ever reach the badge designer. Only confirmed registrants, only paid attendees, or only speakers from a specific track -- you control what gets imported.

5

Real-Time Record Creation Triggers

As soon as a new attendee record lands in your Airtable base, whether added manually or through a form, Zapier sends it to Online Badge Designer. No batch imports, no waiting, no gaps in your attendee list.

6

Works with Airtable Forms and Automations

Collect attendee data through Airtable Forms or third-party form tools that write to Airtable. The Zapier integration picks up every new record regardless of how it was created.

Airtable Integration FAQs

How do I connect Airtable to Online Badge Designer?
The connection is made through Zapier. Create a new Zap with Airtable as the trigger app and Online Badge Designer as the action app. Select "New Record" or "New or Updated Record" as the trigger event, choose your base and table, and map the Airtable fields to badge data fields in Online Badge Designer.
Can I import records from a specific Airtable view?
Yes. When configuring the Airtable trigger in Zapier, you can select a specific view instead of the entire table. This lets you apply Airtable filters and sorts before data reaches the badge designer. Only records visible in that view will trigger the Zap.
What Airtable field types are supported?
The Zapier integration supports single-line text, long text, email, phone, number, single select, multi-select, date, checkbox, URL, and formula fields. Linked record fields resolve to their primary display value. Attachment fields can pass image URLs for badge photo placeholders.
Does the integration update badges when I change an Airtable record?
Yes, if you configure the Zap with the "New or Updated Record in View" trigger. When you edit an existing record in Airtable, Zapier detects the change and sends the updated data to your badge project. The corresponding badge updates to reflect the new information.
Can I use multiple Airtable tables for one badge project?
Yes. Create separate Zaps for each table, all pointing to the same badge project in Online Badge Designer. You can assign different badge templates to records from different tables, so speakers, sponsors, and attendees each get a unique badge design.
Is there a limit on how many records I can import from Airtable?
There is no limit imposed by the integration itself. Zapier processes records as they are created or updated in your Airtable base. The number of badges you can generate depends on your Online Badge Designer plan and your Zapier plan's task allowance.
